3. Service Requests and Quotations

Any quotation provided by Segvic Logistics Ltd is based on the information supplied by the customer at the time of request. This may include cargo type, weight, volume, quantity, origin, destination, shipping method, urgency, customs requirements, documentation, and any special handling instructions.

Quotations may change where:

  • The actual cargo weight, size, volume, value, or quantity differs from the information provided
  • Additional documentation, handling, warehousing, customs, transport, taxes, duties, penalties, inspections, or third-party charges apply
  • Carrier rates, exchange rates, fuel charges, port charges, airport charges, customs charges, or regulatory fees change
  • The customer changes shipment instructions after quotation
  • The shipment requires special handling, repackaging, storage, insurance, permits, or compliance checks

A quotation does not become a confirmed service agreement until Segvic Logistics Ltd accepts the shipment request and any required payment, documentation, or confirmation has been received.

4. Customer Responsibilities

The customer is responsible for providing accurate, complete, lawful, and timely information for all shipments and service requests.

You agree to:

  • Provide correct names, phone numbers, email addresses, supplier details, receiver details, pickup details, delivery details, and shipment descriptions
  • Declare the correct cargo type, quantity, weight, volume, value, and contents
  • Provide genuine and complete invoices, packing lists, permits, licenses, identification documents, tax documents, or customs documents where required
  • Ensure that goods being shipped are legal, properly declared, and not prohibited or restricted without proper authorization

  • Respond promptly to requests for additional information, payment, approvals, or documents
  • Collect or receive cargo within the agreed time after notification, where applicable

Segvic Logistics Ltd will not be responsible for delays, penalties, seizure, rejection, extra costs, failed delivery, or losses caused by inaccurate, incomplete, false, delayed, or unlawful information provided by the customer, supplier, receiver, or any person acting on the customer’s behalf.

5. Prohibited, Restricted, and High-Risk Goods

Customers must not use our services to ship goods that are illegal, prohibited, restricted, unsafe, counterfeit, stolen, improperly declared, or not accepted by carriers, customs authorities, regulators, or service partners.

Prohibited or restricted goods may include, but are not limited to:

  • Illegal drugs, narcotics, or controlled substances
  • Weapons, ammunition, explosives, or military items without lawful authorization
  • Counterfeit goods or goods violating intellectual property rights
  • Hazardous chemicals, flammable materials, toxic substances, or dangerous goods not properly declared and approved
  • Live animals, plants, or agricultural products without required permits
  • Cash, negotiable instruments, precious metals, jewelry, or high-value items unless expressly accepted in writing
  • Pornographic, obscene, or unlawful materials
  • Goods prohibited by Ugandan law, origin-country law, transit-country law, customs rules, airline rules, shipping line rules, or international regulations

Segvic Logistics Ltd reserves the right to reject, hold, return, report, or refuse to handle any cargo that we believe may be prohibited, restricted, unsafe, suspicious, improperly declared, or unlawful.

The customer remains fully responsible for any consequences, penalties, fines, losses, investigations, claims, or damages arising from prohibited, restricted, undeclared, misdeclared, or unlawful goods.

6. Shipment Handling and Delivery

Segvic Logistics Ltd will take reasonable steps to handle shipments with care and coordinate movement, clearance, storage, and delivery according to the selected service and available logistics arrangements.

However, all shipment timelines, transit periods, clearance periods, arrival dates, and delivery dates are estimates unless expressly confirmed in writing as guaranteed.

Delays may occur due to factors beyond our control, including:

  • Customs inspections, customs system delays, valuation queries, tax issues, or regulatory checks
  • Carrier delays, flight changes, vessel delays, port congestion, airport congestion, missed connections, route disruptions, or cargo offloading
  • Supplier delays, incomplete documents, packaging issues, labeling issues, or incorrect delivery information
  • Weather conditions, natural disasters, strikes, civil unrest, public holidays, security checks, road conditions, accidents, or force majeure events
  • Payment delays, customer response delays, document delays, or unresolved compliance issues

Segvic Logistics Ltd will not be liable for delays caused by events outside our reasonable control or by third parties involved in the shipment chain.

7. Customs Clearance, Duties, and Taxes

Customers are responsible for all customs duties, taxes, levies, penalties, inspection fees, regulatory fees, storage fees, demurrage charges, and any government or third-party charges related to their shipment unless expressly agreed otherwise in writing.

Customs authorities may inspect, value, reclassify, hold, reject, seize, or require additional documents for shipments. Segvic Logistics Ltd may assist with customs processes, but we do not control customs decisions, tax assessments, inspections, penalties, or regulatory outcomes.

The customer must provide all required documents and information for customs clearance. Any delay or loss caused by incomplete, inaccurate, false, or late customs documentation is the responsibility of the customer.

8. Payments and Charges

Customers agree to pay all fees and charges related to the requested services. Payment terms may vary depending on the type of service, shipment origin, shipment method, cargo value, customer arrangement, and operational requirements.

Charges may include, but are not limited to:

  • Freight charges
  • Cargo handling fees
  • Customs clearance fees
  • Duties and taxes
  • Warehousing or storage fees
  • Local delivery or transport fees
  • Documentation fees
  • Packaging or repackaging fees
  • Third-party carrier or agent fees
  • Penalties, demurrage, or inspection-related charges where applicable

Segvic Logistics Ltd may withhold cargo, documents, delivery, or further service until all outstanding payments are cleared.

All payments must be made through approved payment methods communicated by Segvic Logistics Ltd. Customers should verify payment details before making payment. Segvic Logistics Ltd will not be responsible for payments made to unauthorized persons, wrong accounts, fake contacts, or fraudulent payment channels not officially provided by us.

9. Storage, Uncollected Cargo, and Abandoned Goods

Customers must collect or receive cargo within the communicated collection or delivery period after being notified that the cargo is ready.

Storage charges may apply where cargo remains uncollected beyond the allowed period.

If cargo remains uncollected for an extended period despite reasonable attempts to contact the customer, Segvic Logistics Ltd may treat the cargo as abandoned, subject to applicable law and any outstanding charges. We may take reasonable steps to recover unpaid costs, including storage, handling, customs, transport, or disposal-related costs.

Segvic Logistics Ltd is not responsible for loss, damage, deterioration, expiry, confiscation, penalties, or additional charges arising from a customer’s failure to collect cargo, respond to notifications, provide documents, or pay outstanding fees in time.

10. Loss, Damage, and Liability

Segvic Logistics Ltd will take reasonable care when handling cargo. However, logistics services involve multiple parties, including suppliers, carriers, airlines, shipping lines, clearing agents, warehouses, customs authorities, transporters, and other service providers.

To the fullest extent permitted by law, Segvic Logistics Ltd will not be liable for:

  • Indirect, incidental, special, or consequential losses
  • Loss of profit, business interruption, loss of market, loss of opportunity, or reputational damage
  • Delays caused by customs, carriers, suppliers, authorities, weather, public holidays, unrest, or force majeure events
  • Losses caused by poor packaging, fragile goods, perishable goods, incorrect labeling, hidden defects, or undeclared cargo characteristics
  • Losses caused by false, inaccurate, incomplete, or late information provided by the customer or supplier
  • Seizure, penalties, rejection, or confiscation caused by prohibited, restricted, misdeclared, undervalued, or unlawful goods

Where liability is legally established against Segvic Logistics Ltd, our liability shall be limited to the amount paid to us for the specific service directly giving rise to the claim, unless a higher liability is required by applicable law or expressly agreed in writing.

Customers are encouraged to request insurance or arrange separate cargo insurance for high-value, fragile, sensitive, or commercially important shipments.

11. Cargo Insurance

Standard logistics charges do not automatically include cargo insurance unless expressly stated in writing.

If you require insurance, you must request it before shipment and provide accurate cargo details, value, invoices, and any other required documents. Insurance availability, coverage, exclusions, claim procedures, and premiums may depend on the insurer, cargo type, value, route, and service method.

Segvic Logistics Ltd is not responsible for uninsured cargo losses beyond the liability limits stated in these Terms and Conditions.

12. Packaging and Labeling

Customers and suppliers are responsible for ensuring that cargo is properly packed, labeled, protected, and suitable for the selected shipping method.

Fragile, liquid, electronic, perishable, high-value, oversized, dangerous, or sensitive goods must be clearly declared and packaged according to appropriate handling standards.

Segvic Logistics Ltd may recommend repackaging or additional handling where necessary, and extra charges may apply.

We are not responsible for damage caused by poor packaging, unsuitable packaging, hidden defects, leakage, internal breakage, manufacturer faults, or failure to declare special handling requirements.

13. Communication and Notifications

Segvic Logistics Ltd may communicate with customers through phone calls, SMS, WhatsApp, email, website forms, or other available channels.

Customers are responsible for providing accurate and reachable contact details. We will not be responsible for delays, missed deliveries, extra charges, storage fees, or failed communication caused by incorrect contact information or failure to respond to our messages.

Service updates, shipment notifications, payment requests, document requests, and delivery notices may be sent through the contact details provided by the customer.
